The NAACP of Ozaukee County is seeking a highly responsive, prompt organized, tech-savvy, collaborative Secretary (Officer) with administrative and systems knowledge to assist with Branch operations, procedures, membership management (NAACP Portal and communications), internal and external communications, and scheduling of meetings for the President and Branch.
RESPONSIBILITIES/DUTIES
• Respond to all correspondence consistent with department values and objectives while building trusting relationships
• Provide administrative support to the President and Branch, including organizing daily calendars and meetings and maintaining manageable schedules by understanding the time demands of activities
• Coordinate details for the Department and Board members, as necessary
• Promptly answer and direct emails, phone calls with exceptional service, eliciting positive responses from others
• Serve as liaison to support technologies (i.e., computers, applications, and other devices)
• Scheduling and attending meetings, recording meeting minutes including key issues, and preparing timely minutes and follow-up materials to meeting participants
• Execute administrative office policies and procedures
• Maintain thorough and accurate Officer records with year–to-year tracking of changes
• Provide recommendations to improve operations and troubleshoot problems
• Oversee Google drive folders, document repository / filing system for all new hard copy and electronic documents to support efficient operations
• Organize procedures and day-to-day tasks to ensure ease of execution
QUALIFICATIONS Education/Professional Experience
• Associate’s Degree with 1-2 years of general business experience preferred and strong knowledge of standard office procedures and protocols
• Proficient in Google forms, MS Word, Excel, PowerPoint
• Experience working within a human resources department is preferred
• Demonstrated ability to use interpersonal skills to achieve outcomes within a complex organization successfully
• Experience in managing details in alignment with the Association’s broader mission
• Demonstrated strong organizational and multitasking skills
• Outstanding written and verbal communication skills.
